Kubez Ltd (company number 12576974), trading as KnowledgeBox Solutions, uses the information collected through the confidential preview gate to administer approved access, verify the person controlling the submitted email address, preserve evidence of the agreement accepted, protect the service, and establish or defend legal rights.
Information recorded
We record the name and work email supplied, the exact agreement version and hash, acceptance and verification times, successful access and revocation events, security rate-limit events, and limited technical evidence such as a one-way hash of the connection address and a shortened browser user-agent string. We do not store submitted department access keys or routine failed-key attempts.
Retention
Identifying acceptance and access evidence is retained for six years from acceptance, then erased or irreversibly anonymised unless the record is subject to a documented legal hold.
Sharing and access
Records are available only to authorised Kubez Ltd personnel with the dedicated access-audit permission and to service providers needed to operate email, hosting and secure data storage. Information may also be disclosed when required by law or for legal claims.
